Payroll Schedule
In This Section
Clocking In/Out
Two (2) options to access TrueTime and to Clock In/Out:
- Via a computer - Clock In/Out Via Computer PDF Doc OR
- Via the Skyward Mobile Phone App - Clock In/Out Via Mobile Phone App Doc
Work Schedules:
Employees are allowed to clock in and out only up to seven (7) minutes before or after their scheduled start and end times.
Employee's hours and wages are budgeted therefore you must obtain supervisor approval prior to working extra hours, overtime or changing your work schedule. Schedule changes do not apply to Summer School Staff. Casual employees with varying work hours (ie -aquatic center or weight room employees) do not have work schedules set up in True Time.

Correcting Clock In/Out
Missed Clock In or Out:
If you forget, clock in as soon as you can. Adjust your clock in time and enter a note as to the correct time. Clock out as you normally would. If you forget to clock in until the end of the day, clock in and out and adjust your clock in / out time(s). Make a note as to your correct clock in /out times as soon as you can.

Note Entry: It is recommended to add notes in TrueTime as much as possible to assist your supervisor in approving your timesheet. No Mobile App feature is available. Notes must be added using a Computer.
Submitting Timesheets
Two (2) options to submit weekly timesheet:
Time Sheets can always be submitted to your True Time Approver / Supervisor as soon as your last clock out of the WORK WEEK (Sun-Sat) but you
MUST SUBMIT NO LATER THAN:
4:00 PM on Thursday Summer School Staff
5:00 PM on Friday Summer School Strength & Conditioning
8:00 AM the next Monday Regular Staff
8:00 AM the next Monday Other Hourly Staff

Do Not Delay Submitting Timesheets. Employees must take action and submit weekly timesheets by the due date and time noted above. Your diligence in submitting timesheets allows your True Time Approver / Supervisor time to review, approve and meet their deadline to the Payroll Office who then needs time to process the timesheet so you get paid.
- CAREFULLY review your timesheet before submitting it. You are responsible for accounting for your total daily and weekly hours. If your total daily and/or weekly hours do not match your work schedule, then employees who qualify for paid time off must submit time off requests in Skyward to account for missing time. Paid time off and no pay time off must follow the guidelines outlined in the Employee Handbook. If you leave early or arrive late, employees who qualify for paid time off must submit paid or no pay time off to account for your absence. Time off can be submitted in hourly increments of 0.25 hours (0.25 hours = 15 minutes).

Submitting Time Off
Qualifying employees receive paid sick, personal, vacation and holiday time off. Your employee time off entry is connected to and paid through your True Time Weekly Timesheet. Summer School staff do not receive paid time off and are emailed absence request forms from the Summer School office.
Follow these important steps when taking time off.
- Employee time off must be entered in Skyward and supervisor approved before you can submit your weekly time sheet. Time off can be submitted in hourly increments of 0.25 hours ( 0.25 hours = 15 minutes).
- Time off with out pay (no pay) must also be submitted in Skyward and must follow the no pay leave guidelines outlined in the Employee Handbook .

Approve Time Off
Approving time off requests is tied to approving employee time sheets. Employee time off requests must be approved before the employee submits their weekly time sheet. -
Review and Approve / Deny Timesheets

Submit timesheets to payroll no later than NOON (12 pm) EVERY MONDAY.

True Time approver(s) are responsible for ensuring employee timesheets are accurate and correct prior to approving.

True Time approver(s) are responsible for verifying and ensuring employees work within their budgeted hours.

True Time approver(s) are responsible for communicating expectations to employees that pre-approval is required by the supervisor before employees can work extra hours or submit for overtime.

Employees who qualify for a lunch break, will need to clock in and out for their lunch break.

7 minute rule. Employees should not clock in prior to or not clock out after 7 minutes from their scheduled start / end times because either scenario results in an extra 15 minutes pay above their budgeted hours.

View all of your employee's timesheets on one screen - see image at bottom of web page. Navigate to your employees unapproved timesheets and change the Views to Workweek Totals - By Name. View if employee is submitting over or under their work schedule. View each day's scheduled vs difference of submitted hours.

Follow Up With Employee
If hours submitted on a timesheet appear to be incorrect or if you want the employee to add a note to their timesheet, you can deny the timesheet which will send it back to the employee to make corrections or additions. After the employee resubmits, the timesheet will be routed back to the Approver(s). -
Submit Timesheets to Payroll by Deadline
DUE to payroll no later than NOON (12 pm) EVERY MONDAY. Employee timesheet submission deadlines can vary (especially for summer jobs). View EMPLOYEE website for timesheet deadline submission expectations.
